Stage 1: what's included.

The full hire loop, from the first enquiry to the continuation invoice — including the Outlook inbox and online orders. Everything in this demo outside the Next stage section is stage 1, and it all runs without the next stage.

  1. 1
    Enquiries and quick jobs

Website, phone and email enquiries on one board. A quick job goes straight onto the schedule with a booking confirmation.

    Open
  2. 2
    Quotes

Built from the price list in 4-week blocks, minimum hire under 40 m, delivery, collection, labour and extras. Rev A and Rev B on one number; accept link with the install date they want.

  3. 3
Jobs, the ins and outs, and stock

Every delivery, extra delivery, part collection and loss on a job, each one opening to its equipment, with the running tally of what's on site at the bottom — and a button to invoice it. Stock for the whole company and per customer.

    Open
  4. 4
    Crew iPad app

Locked to one truck. Today's dockets in run order; quantities, times, photos, signature. Submit updates the tally and creates the invoice task.

    Open
  5. 5
Calendar, run sheet and truck load-outs

The next seven days, trucks against days. Drag a job that didn't happen yesterday onto today; reorder the runs. What each truck needs loaded, and a printable run sheet.

  6. 6
    Pricing and invoicing

The price list, kits and what's included, set per client: 4-week blocks, monthly per item, or a fixed term paid upfront or monthly. Invoices follow every delivery and collection, and every one is a draft until a person approves it.

    Open
  7. 7
    Continuation and recurring invoices

Each morning the next block, month or instalment is drafted on what is on site that day — added fence included — and waits for a person to check it.

    Open
  8. 8
    Xero

Approved invoices posted, payments back, sync status on every invoice, and anything that failed with a Retry.

    Open
  9. 9
    Missing and damaged

From the docket onto the invoice, counted separately, reported by customer, item and month.

    Open
  10. 10
    Customers

Contacts, jobs, metres on hire, invoiced, owing from Xero, and the full email history from enquiry to job.

    Open
  11. 11
    Outlook inbox

Incoming email filed automatically against the right customer, quote or job. Anything it can't place waits in Unfiled.

    Open
  12. 12
    Website and online orders

The website form lands on the enquiry board; customers order online with a live price, and the order arrives to approve.

    Open
  13. 13
    Dashboard

Metres on hire, continuation waiting, dockets waiting to be invoiced, today's runs — and what needs a person.

    Open

Microsoft sign-in, office roles, truck iPads, documents backed up to SharePoint, and the go-live step: every site brought across from CloudRent is confirmed on the next visit.
